Cradle for accounting firms in New Zealand
Cradle is the cloud phone system used by accounting firms in New Zealand to stop their phone calls creating admin. Caller ID and click-to-call work across FYI, Xero Practice Manager and HubSpot. Calls log automatically into FYI and HubSpot, AI writes the follow-up summary, voicemails are transcribed against the right client, and your team takes calls from any device.

Used by accounting firms across Australia and New Zealand
“The biggest game changer for us is that every call is automatically saved into FYI. That means no more missed notes or chasing people for messages. The accountants can just go back and see the conversation for themselves”
Cradle for accounting firms
Five views: how Cradle helps an accounting firm, what specifically Cradle does, what a typical day looks like with Cradle, how Cradle compares to generic VoIP, and answers to common questions.
How Cradle helps your accounting firm
Three things matter to accounting firms: saving time, keeping accurate client records, and meeting your compliance obligations. Cradle is built around all three.
Saving time
Every call logs itself against the right client. AI writes the follow-up summary. Voicemails transcribe automatically. Your team stops re-typing call details after every conversation, and the "I'll log it later" backlog stops accruing.
Accurate record-keeping
Inbound calls match the right client by phone number. The recording, the transcript, and the AI summary all land in FYI or HubSpot against the matching record (XPM auto-logging is on the roadmap and will join the same flow when it ships). Every client conversation lives where the rest of the engagement does, not in a separate phone-system silo.
Compliance
Calls are recorded, transcribed and timestamped against the right client, with a clear audit trail of who handled the conversation and when. Recordings live on Cradle's servers (28-day default retention; extendable on request) and link from the activity feed. Configurable to match CA ANZ practice review standards and NZ AML/CFT obligations.
What Cradle does for an accounting firm
Six jobs, all running across whichever practice management system your firm already uses.
Knows your clients before you answer
When a client phones, Cradle reads their number, looks them up in FYI, XPM or HubSpot, and shows their record on the phone screen before the call connects. You see who's calling, what they last contacted you about, and (on FYI) any open jobs.
Click-to-call from your client list
Phone numbers in FYI, XPM and HubSpot become click-to-call links. Cradle picks up, dials, and pre-attaches the call to the right activity record. No keying numbers, no opening a separate dialer.
Logs every call automatically into FYI and HubSpot
Inbound, outbound, missed, voicemail. Every call writes an activity into FYI or HubSpot against the matching client record, with the call duration, recording link, and AI summary. XPM auto-logging is on the roadmap and will join the same flow when it ships.
Writes the follow-up summary
Cradle's AI writes a one-paragraph summary of every call: the topic, the decisions, and the next steps. Read it from the activity record without listening to the recording. See AI call summaries.
Transcribes voicemails
Voicemails are transcribed and attached to the client's activity feed within seconds of the caller hanging up. No more listening to messages just to find out which client left them. See voicemail transcription.
Tracks billable time on FYI Elite
On FYI Elite with FYI AI, Cradle posts call duration to the right job as a draft time entry, ready for the partner to approve at month-end. Configured with our team since each firm's billing rules are different.
A typical day with Cradle
Same calls, same clients. Just no admin between them.
Mrs Lawson rings about her tax return. Cradle reads her number, finds her in XPM, and shows her name and open job before you pick up. The call lasts six minutes.
Hangup. Cradle writes the call as an activity in FYI against Mrs Lawson's record, with the recording link and a one-paragraph AI summary: "Confirmed she'll send the missing 2024 dividend statements by Friday. Asked about the FBT due date; confirmed 21 May."
A new lead leaves a voicemail. Cradle transcribes it within seconds and creates an Unknown caller activity with the transcript and a play link. You read the message instead of listening to it.
You click-to-call your client from inside FYI. Cradle dials, picks up, and pre-attaches the call to the right job. The activity logs itself when the call ends.
The partner reviews the day's calls in FYI's activity feed. Twelve calls logged, six AI summaries already written. On Elite, three drafted time entries are waiting for approval at month-end.
Nobody types the same thing twice. The "I'll log that call later" backlog stops accruing. Your team takes the calls; Cradle does the paperwork.
Cradle vs generic VoIP for accounting firms
Most generic VoIP providers (3CX, RingCentral, MS Teams Phone, 8x8) don't know what FYI, Xero Practice Manager or HubSpot are. The phone system records the call; your practice management has no idea the call happened. Your team copies and pastes the details from one tool to the other, or doesn't bother.
Cradle is built for this. The accounting integrations are included on every paid Cradle tier, configured in a few minutes, and run in the background after that.
| Capability | Cradle | Generic VoIP |
|---|---|---|
| Caller ID enriched from your PM client list | ||
| Click-to-call from FYI / XPM / HubSpot | ||
| Calls log as activities in your PM system | ||
| AI call summary written to PM record | ||
| Voicemail transcribed and attached to client | Rare | |
| Billable time tracking | FYI Elite, with our team's help | |
| NZ-based support | Varies | |
| Setup time | 30 minutes | Engineering project |
| Free trial | Rare |
If your firm runs on FYI, XPM, or HubSpot and your phone system isn't aware of it, you're paying twice: once for the phone system, and again in admin time.
